Job Description

The Producing Assistant is responsible for drafting and administering contracts, coordinating payments and travel arrangements, and supporting a range of administrative tasks across multiple projects. This role involves liaising with internal and external stakeholders, arranging VIP ticketing for special events, and assisting with personnel needs for the Directors’ Office, ensuring efficient operations and clear communication. Reporting to the Associate Producer, the Producing Assistant collaborates with producing staff and other departments to support organizational goals. This position also acts as a backup to the Company Manager as needed and contributes to maintaining effective systems and processes within the producing office.

Responsibilities:

  • Draft, track and administer contracts and other documentation for a variety of simultaneous projects
  • Initiate and track payments and expenses, and ensure fulfillment of other contractual commitments
  • Perform general administrative duties, including data entry, proofing text, correspondence, filing, etc.
  • Support and administer arrangements for personnel engaged by the Directors’ Office, including (but not limited to) child actors, child supervisors and related activity
  • Arrange travel, accommodation and appointments, as requested, for team members and guests
  • Arrange, book and coordinate tickets for VIPs for opening nights and other special events.
  • Act as a liaison between the producing team and all stakeholders. 
  • Act as backup/substitute for the company manager as needed
  • Adhere to the Stratford Festival Health & Safety Commitment and Procedures, and ensure that safe work practices and policies are supported and enforced within reporting structure.
  • Perform other duties as assigned

Minimum Qualifications:

  • Post-secondary diploma program, typically a two year program, or equivalent, (i.e. Community college, Technical Institute or Trade School, etc.)
  • 2 to 4 years of related experience
  • Proficient in Microsoft Office Suite
  • Experience in performing arts environments is an asset
  • Training and/or experience in an arts organization, particularly in unionized environments

This full-time posting is for an existing vacancy located in Stratford, Ontario. This position requires the candidate to work onsite, with remote available when required. Regular work hours for this position are Monday to Friday, but may require the candidate to work holiday and weekend hours as scheduled.
