The Citadel is one of the largest not-for-profit theatres in North America, drawing patrons from a large geographic region that includes the greater Edmonton area as well as central and northern Alberta.

We believe that young people are integral to the artistic fabric of our community. As such, we are committed to programming and initiatives that develop their creative voices and encourage their participation. These include theatre classes, training and camps for the Foote Theatre School and Citadel Young Companies, school educational programming from the Students Club and Inquiring Minds, and more.

We have approximately 7,000 regular subscribers, a total audience of 130,000 each season, and an annual operating budget of $13M.

We produce or present up to six plays in our Mainstage season, plus an annual production of A Christmas Carol, a summer musical, three plays in our Highwire Series, and an additional six productions in our multidisciplinary House Series (featuring concerts, cabarets, comedy, spoken word, dance, drag and other forms).

The five performance spaces of the Citadel Theatre complex are the Shoctor Theatre (proscenium stage); the Maclab Theatre (thrust stage); the Rice Theatre (a cabaret-style black box theatre); Zeidler Hall (auditorium/cinema), and the Tucker Amphitheatre.

Job Description

POSITION SUMMARY: The Events Coordinator plays a crucial role by facilitating a vibrant, busy arts hub in Edmonton that is connected to the Citadel Theatre’s artistic programming. The primary responsibility of this position is to organize, coordinate, and execute events under the management of the Events Manager. The Events Coordinator is essential for ensuring the completion of the full event execution cycle with both internal and external stakeholders and supporting the overall success of the organization.

KEY ACCOUNTABILITIES:

  • Liaise throughout a full-cycle event process to execute successful events for both internal and external clients. 
  • Lead part-time staff to successfully execute events leading up to, during and after events.
  • Assist with developing facility rental agreements for internal and external clients.
  • Utilize company software systems and policy to ensure that all event details are communicated clearly and efficiently.   
  • Aid the Events Manager in maintaining schedules for assets including internal staff requests and physical departmental resources. 
  • Generate new leads and maintain current relationships with clients and vendors to support community involvement and revenue generation. 
  • Prepare and process client financial settlements in accordance with facility rental agreements and internal policy to receive revenue in a timely and accurate manner. 

 

 

REQUIRED QUALIFICATIONS:

·         Education: High school diploma, or equivalent

·         Experience: Minimum 2 years of customer service experience and minimum 1 year of event coordination experience

 

·         Skills:

·         Excellent communication and time management skills

·         Familiarity with cash-handling best practices including invoicing, deposits and settlements

·         Customer-focused mindset with an eye for building long-lasting relationships

 

DESIRED QUALIFICATIONS:

·         Bachelor’s degree or equivalent

·         Event specific education or training

·         Proficiency in Momentus Elite, Outlook 365, Asana and Tessitura.

 

ADDITIONAL REQUIREMENTS:

·         Ability to lift 50lbs

·         Ability to be on feet for event duration, and to use stairs

·         Weekend, evening and holiday availability as needed for events

·         FoodSafe, ProServe certification

·         First Aid Training
